David Lloyd Leisure

The David Lloyd Leisure Group includes 88 UK and European David Lloyd Leisure Clubs, two exclusive Harbour Clubs, one Next Generation Club and five David Lloyd Studios. With a membership of around 440,000 employing some 6,000 staff, including an expert health and fitness team of over 1,800 and the contracted services of over 450 tennis professionals. Across the clubs, there are more than 12,500 exercise machines, 150 swimming pools and over 7,000 exercise classes a week. True to David Lloyd’s roots, the racquets facilities are second to none with 800 tennis courts, 180 badminton courts and 140 squash courts across the UK.

Challenges

The decision to implement a new JD Edwards ERP system offered David Lloyd Leisure (DLL) the opportunity to also review its Accounts Payable business processes.
The Accounts Payable function of processing supplier invoices had been outsourced for some years – to gather and enter invoice data from product and service providers, including all their personal trainers and coaches. Reviewing the capabilities of automation in this area with their JD Edwards implementation partner (Beoley Mill Software), DLL decided to reintroduce this entire operation.

Having previously worked alongside d- o with other mutual JD Edwards clients, Beoley Mill Software suggested d-flo to achieve their intended goal, in addition to the four other companies DLL had already identified.

Additional to cost, the key criteria for selection of the software provider to work with JD Edwards and the DLL IT team were:

  • functionality fit of the software with desired operational procedures and in multiple languages
  • confidence in the ability to work with the chosen supplier in a flexible manner within timescales

Solution

DLL selected d-flo as the supplier to implement their Accounts Payable automation solution after being impressed with the depth of understanding demonstrated of their needs and wishes. The confidence DLL gained from the suggestions d-flo made greatly reinforced the recommendation of their JD Edwards implementation partner. d-flo’s solution streamlined the capture of – both paper-based and electronic – invoices and automated the capture of the critical invoice data resulted in more efficient business processes. Furthermore, integrated directly with JD Edwards, d-flo’s solution also created the vouchers directly within DLL’s JD Edwards system therefore improving the accuracy of data entry and providing visibility to the electronically stored invoice from within the JD Edwards accounting system. DLL now report that they have much greater control over a key element of their business, with a system that their operational teams quickly found very easy to use, and that is fully integrated with the new ERP system.

 

We felt from the start that d-flo got where we were coming from. It feels more of a partnership than a customer-vendor relationship. Working with the d-flo team has certainly made our business processes better. Having to work within the constraints of the bigger ERP project, they met all the challenges quickly and professionally, and have responded in the same way to subsequent change requests. We know we can work with d-flo to build on this initial capability and look for ongoing further improvements to our business. Their specialism in this field shone through.
